For a period of nearly six weeks we had chaotic weather conditions which disrupted countless conferences and events across Scotland. The problem was compounded by the problems of not being able to reschedule events within the time available. Yours may have been one of them.</p>
<p>The forecast for this winter doesn’t look much better but many event organisers are making sure that their events can go ahead via webcasting facilities from Video3.</p>

			<content:encoded><![CDATA[<p>At BCS Health Informatics Scotland Conference 2011 next week, Daniel Beaumont, eHealth Information Security Lead at the Scottish Government, will outline the current benefits and risks of using social media within the health service and how it can be part of a wider channel strategy when he delivers his presentation “Online social networks: harnessing benefits and reducing risks”.</p>
<p>&nbsp;</p>
<p>“Simply ignoring or completely blocking social media sites in the workplace does not remove the risks” says Daniel Beaumont. “Instead each organisation needs to harness social media in a controlled way and use a mixture of information governance, guidance and technical controls”.</p>
<p>&nbsp;</p>
<p>Patient Opinion, a website where patients comment on their experience of healthcare to help health services improve, believes that the use of social media in the NHS comes from patients themselves. Founder and Chief Executive of Patient Opinion, Paul Hodgkin, is also speaking at the conference discussing “Social media and the NHS: when everyone has a voice.”</p>
<p>&nbsp;</p>
<p>Paul Hodgkin says: “Just like everyone else, patients want to be heard, to feel listened to and to be involved. At Patient Opinion we see first hand that patients want to give feedback on their care experiences and use these to start improving their health services.</p>
<p>&nbsp;</p>
<p>&#8220;Social media has given everyone a public voice, and where people are starting a conversation on these channels they naturally want a response. So health organisations cannot sit passively and wait for the social media to affect them, they need to engage in this new cost-effective way.&#8221;</p>

			<content:encoded><![CDATA[<p><strong>What happens when you’re running a conference in the UK, and your two main speakers are stuck in Canada and Hong Kong? </strong></p>
<p> For many, this would spell disaster – and it almost did for one of our clients, who was organising a London-based, international conference. But they threw us the challenge and we responded. Here’s what happened.</p>
<p> Our client told us all about the problem they faced</p>
<ol>
<li>They gave us the contact details of the two speakers, one in Vancouver and the other in Hong Kong</li>
<li>They pointed out that there were up to 18 hour time differences between the three cities (Vancouver, London and Hong Kong)</li>
<li>With the aid of V3 Technologies, we arranged for the two speakers to deliver their presentations, live to London, within an hour of each other.</li>
<li>We also arranged for some interaction between the London delegates and the speakers, allowing the delegates to pose questions and make comments.</li>
<li>Then we made sure that an extended audience from the USA, Canada and Europe were able to watch and participate.</li>
<li>Finally, we recorded everything and archived it for future reference.</li>
</ol>
<p> We respond to many challenges. This is just one of them. Last winter we stepped in to save the day when the weather conditions played havoc with UK travel. Then we stepped in again when national and international flights were disrupted by the volcano in Iceland. And we think that we may be asked to respond positively to other crises as budget restrictions are introduced through the public and private sectors.</p>

<p><strong>One of our clients recently presented us with a challenge but, let’s face it, that’s what clients tend to do. It wasn’t a particularly massive challenge, but it was one with lots of different things to consider, and we had to get it right. </strong></p>

<p><strong>The Background</strong></p>
<p>Our client was holding a small, but important conference in London. They had lined up speakers from around the world, as well as delegates from the UK, Europe, the US and Canada. Some of the delegates would be attending the conference in London, while others would link to the conference from their office or home computers.</p>
<p>Two of the speakers from the World Health Organisation, one from Hong Kong and one from Vancouver, couldn’t make it to London, but what they had to say was important.</p>
<p> <strong>The Challenge</strong></p>
<p>With expert speakers, and many delegates, thousands of miles apart, everyone had to link up at exactly the right time.</p>
<p>The speakers attending the conference had to present to their live audience in London and, simultaneously, to delegates around the world. Additionally, the speakers from Vancouver and Hong Kong had to make their presentations, live, to the delegates in both London and in the other countries.</p>
<p>The next part of the challenge was that all delegates, regardless of where they were, had to be able to ask the speakers questions, and give comments and feedback on the topics being discussed.</p>
<p>Finally, some delegates, for whatever reason, may miss the live presentations, so everything had to be archived, allowing all delegates to view the presentations at their leisure.</p>
<p><strong>The Solution</strong></p>
<p>We simply resolved all of these problems, and met the challenge head on. Job done.</p>
<p>The key success factors centred on a few of the basics:</p>
<ul>
<li>The webcast would not be a &#8220;nice to have&#8221; option. It would be an integral part of the event</li>
<li> We would not get hung up on the technology side but, instead, we would keep the event’s business objectives, and benefits, at the forefront of everything we did</li>
<li> We would make things as simple as possible for everyone involved</li>
<li> We would meet the challenges in a spirit of co-operation. We would make it work.</li>
</ul>
<p> <strong>The Lessons Learned</strong></p>
<p>Anything can be achieved when people co-operate and have a clear set of objectives.</p>
<p>With cutbacks in many areas, we all have to think differently, and innovate, if we’re to get the job done. And with annual target savings in the region of 15-20%, there’s never been a better time to rethink event strategies.</p>
<p>There are massive benefits to be gained from the shift away from national conferences to smaller, regional events. But it’s important to ensure that audience numbers don’t fall, and that both delegates and presenters can interact via live webcasting, regardless of where in the country, or world, they are.</p>
<p>Why should everyone be spending time and money to travel, when they can participate from their home or office? Webcasting makes ‘inclusion’ a reality.</p>
